What to include on a rent receipt
A rent receipt only works as proof if it answers who paid, how much, for what and when. Include:
- Receipt number and date paid: so each payment can be matched to a bank deposit or ledger line.
- Tenant and landlord names: the person who paid and the person or company who received the money.
- Amount in numbers and words: writing it out (“One thousand two hundred fifty and 00/100 dollars”) makes the receipt harder to alter.

When a rent receipt is required
No federal law requires rent receipts, but several states do, especially for cash. New York requires a written receipt for cash and money-order rent and for checks when the tenant asks (RPL §235-e). Maryland and Washington require receipts for cash payments, and California lets any payer demand a written receipt. Many local rent-control ordinances add their own rules. Common rent receipt mistakes
- Leaving out the rent period, so a payment can't be tied to a specific month.
- Writing “paid in full” on a partial payment. Record the balance instead.
- Mixing the security deposit into rent. Give a separate receipt for deposits.
- Not keeping your own copy. Keep receipts for at least as long as you keep tax records.
- Back-dating or changing a receipt after the fact. Issue a new, correctly dated one instead.
